FAQ: The 4-Step Import Drawer

Can I import data from another accounting system?

Yes. You need to export your data from the other system as a spreadsheet (CSV or Excel), then download the Usystems template and map your columns to match. Not all fields may be available, but you can bring over contacts, products, and basic transaction history. Some older systems may require manual cleanup or reformatting of dates and account codes.

What happens if the import fails partway through?

If an error occurs during the import itself (not during validation), the entire import is rolled back — none of the data is saved. This protects you from partial or corrupted records. You'll see an error message explaining what went wrong. Fix the issue and re-upload.

Can I undo an import after it's completed?

No. Once the import is finished and data is in your system, it's treated like any other data you entered manually. You can edit or delete individual records, but there's no "undo import" button. Test your import on a non-production system first if you're unsure, or ask your account administrator to restore a backup if something goes very wrong.

Do I need to use the template Usystems provides, or can I use my own file?

You should use the template Usystems provides. It has the correct column headers and formatting. If your data is in a different format, you can map the columns in Step 3 of the import drawer, but starting with the template is much easier.

How many rows can I import at once?

There's no strict limit, but very large files (tens of thousands of rows) may take longer to process. For best performance, import in batches of a few thousand rows at a time. Your account administrator can advise on optimal batch sizes for your system.

What if my data has special characters or is in a different language?

Usystems supports UTF-8 encoding, so most languages (including Afghan Dari and Persian) and special characters are fine. Just make sure your file is saved in UTF-8 format (most modern spreadsheet apps do this by default). If you're using an older system that uses a different encoding, convert the file to UTF-8 before uploading.

Can I import transactions (invoices, bills, payments) or only master data (products, contacts)?

Both. You can import master data (products, contacts, accounts) and transactions (invoices, bills, purchase orders). Transaction imports are more complex because they involve multiple linked records and accounting rules. Start with simple data types and ask for help if you're unsure.
