Mapping columns to fields

What this does

Mapping tells the import tool which columns in your spreadsheet match which fields in Usystems. If your data comes from another system or your column names are different from Usystems' defaults, this step lets you align them before importing.

Before you start

• Previous step complete: You must have downloaded the template, filled it with data, and uploaded it. The import drawer should now show the mapping step.
• Column names visible: The drawer displays all the columns from your uploaded file.
• Usystems fields available: You'll see the list of fields in Usystems that can receive this type of data.

Steps

Step 1: Review the auto-mapped columns

When you reach the mapping step, Usystems tries to match your columns to its fields automatically. Look at the suggested mappings:

• If Contact Name in your file is already matched to Name in Usystems, that's correct — no change needed.
• If a column is not mapped or mapped incorrectly, you'll fix it in the next step.

Step 2: Fix incorrect mappings

For any column that is mapped wrong or not mapped at all:

1. Click on the column name or the dropdown for that row.
2. Select the correct Usystems field from the list.
3. If your data doesn't match any Usystems field (e.g., an internal reference number from your old system), you can leave it unmapped or skip it.

Step 3: Skip unnecessary columns

If you have columns you don't want to import (e.g., a "Notes" column from your old system that you don't need in Usystems), you can:

• Leave it unmapped (it will be ignored), or
• Click to mark it as Skip or Ignore if the option is available.

Step 4: Confirm mappings

Once all important columns are mapped correctly, click Next or Continue to move to the validation step. The import tool is now ready to read your data and check it for errors.

Tips & common mistakes

• Required fields must be mapped: Before you proceed, check that all required columns are mapped. Usystems will tell you if any mandatory field is missing.
• One-to-one mapping: Each column in your file maps to one field in Usystems. You can't split one column into two fields or combine two columns into one at this stage (do that in your spreadsheet before uploading).
• Field types matter: The field type (text, number, date, dropdown) must match your data. For example, if you try to map a text column to a "Date" field, the validation step will catch it and flag it as an error.
• Extra columns don't hurt: If you have extra columns that don't map, they're simply ignored. No harm in leaving them.
