What is bulk import?

Bulk import is the process of bringing many records (contacts, products, inventory, or transactions) into Usystems at once from a spreadsheet file, rather than typing them one by one in the UI. This is especially useful when starting a new Usystems account or migrating from another system.

Why it matters

Entering hundreds of products or contacts by hand is time-consuming and error-prone. The bulk import tool lets you prepare your data in Excel or CSV, upload it, verify it before it goes into your live records, and then import it all at once. The 4-step drawer keeps you safe by catching problems early.

How it works in Usystems

The import process is structured in four steps:

  1. Download the template — Choose what type of data you're importing (products, contacts, invoices, etc.). Usystems gives you a pre-built spreadsheet with the right column headings and formatting.

  2. Fill and upload — Add your data to the template, then upload the file through the import drawer. The system reads the file and prepares it for review.

  3. Map columns to fields — If your data comes from another system or your headings don't match Usystems exactly, you tell the importer which column in your file goes to which field in Usystems.

  4. Validate and fix errors — Before anything is saved to your live data, Usystems checks every row. It flags missing required fields, invalid dates, incorrect account types, or other problems. You review the errors, fix them in your spreadsheet, and re-upload until the validation passes.

Only after all four steps are complete does the data actually enter your Usystems account.

Where you see it

Bulk import is available in most modules where you work with lists of records. Look for an Import button or option on the page where you'd normally view or create items:

  • Products & Services: Go to Products → Import Open in Usystems
  • Contacts (Customers, Vendors, Others): Go to Contacts → Import Open in Usystems
  • Inventory: Go to Inventory → Import Open in Usystems
  • Other documents: Check the main page for the Import button or menu option.
