Admitting a patient to the inpatient ward

When a patient arrives at your inpatient facility, you need to register them in the ward and create a medical case to track their stay and treatment. This guide walks you through the admission process.

Before you start

  • You must have permission to create and manage inpatient cases.
  • The patient must already exist in your contacts (if not, you can create them during admission).
  • Have the patient's information ready: name, contact details, diagnosis or reason for admission, and assigned ward.
  • If this is a transfer between wards, have the previous ward information.

Steps

  1. Go to Medical Cases and click New Medical Case or + New Case. Open in Usystems

  2. Select Inpatient (IPD) as the case type.

  3. Search for the patient name or ID in the Patient field. If the patient does not exist, create a new contact (your system will prompt you).

  4. Enter the Admission Date (today's date is usually the default).

  5. Select the assigned Ward from the dropdown. This determines which bed area the patient will occupy.

  6. Choose or assign a Bed within the ward (your system may auto-suggest available beds).

  7. Enter the Chief Complaint or reason for admission (e.g., "chest pain", "fracture").

  8. Assign a Doctor or primary care provider from the available staff.

  9. Add any initial Notes about the patient's condition or special instructions.

  10. Click Save to create the medical case. The patient is now registered in the ward.

After admission

Once saved, the patient's inpatient record is open. You can now:

  • Record vital signs and observations
  • Add medical procedures or treatments
  • Track medications
  • Plan discharge when appropriate

Tips & common mistakes

  • Check bed availability first: always verify that the assigned bed is empty and clean before admitting the patient.
  • Complete the chief complaint: a brief, clear reason for admission helps the medical team prioritize care.
  • Assign a primary doctor early: this ensures clear accountability for the patient's care plan.
  • Save regularly: if you are adding multiple patients, save each one before starting the next admission to avoid data loss.
