Ward and bed management in the inpatient department

Effective ward and bed management is essential to ensure patients are assigned to appropriate care spaces and that bed occupancy is tracked accurately. This guide explains how to manage wards and beds in your inpatient facility.

Before you start

  • You must have permission to manage wards and beds.
  • Your facility must have wards configured in settings (ask your administrator if you cannot see wards).
  • You need to know your facility's ward structure (which wards exist, how many beds each has, and what type of care each provides).
  • Have the patient's admission information and any transfer requirements.

Understanding wards and beds

Wards are physical or functional areas of your inpatient facility (e.g., General Ward, ICU, Maternity, Surgery). Each ward contains beds, which are individual patient spaces. Beds have a status:

  • Occupied: a patient is currently in this bed.
  • Available: the bed is empty and ready for a new patient.
  • Maintenance: the bed is temporarily unavailable (cleaning, repairs).

Steps: Viewing ward and bed status

  1. Go to Medical Cases or Wards (if available in your menu). Open in Usystems

  2. Select the ward you want to view. You should see a list or grid of beds and their current status.

  3. Each bed shows:

    • Bed number or name
    • Current patient (if occupied)
    • Status (Occupied / Available / Maintenance)
    • Admission date (if occupied)

Steps: Assigning or transferring a patient

  1. Open the patient's medical case by going to Medical Cases and clicking on their name. Open in Usystems

  2. In the case details, find the Ward and Bed fields.

  3. To change the ward or bed, click Edit (or the pencil icon).

  4. Select a different ward, then choose an available bed from that ward.

  5. If transferring, you may be asked to record the Reason for Transfer (e.g., "patient condition improved, move to general ward").

  6. Click Save. The patient's bed assignment is updated.

Steps: Marking a bed as unavailable

If a bed needs maintenance or cleaning:

  1. In the ward view, find the bed you want to mark.

  2. Click the bed or the Status button/dropdown.

  3. Change the status to Maintenance or Unavailable.

  4. Add a brief note about why (e.g., "cleaning", "repairs in progress").

  5. Click Save. The bed is now blocked from new admissions.

  6. When the bed is ready again, change the status back to Available.

Tips & common mistakes

  • Check occupancy before admitting: always confirm that a bed is marked Available before assigning a patient to it; double-booking creates confusion and delays.
  • Record transfers promptly: if a patient is moved between beds or wards, update their case immediately so the bed count is accurate.
  • Document transfer reasons: noting why a patient moved (recovery, escalation of care, discharge) helps staff understand the care journey.
  • Maintain beds regularly: set a routine for marking beds as Maintenance and plan cleaning to minimize downtime.
