Editing a user

Update a user's name, roles, or access restrictions.

Editing a user

You can change a user's name, roles, password, product assignments, or location access at any time. These changes take effect immediately the next time the user logs in or reloads the page.

Before you start

  • You must have Admin access or User Management permission.
  • Know which changes you need to make (e.g., new role, location assignment).

Steps

  1. Go to Settings → Users & Roles → Users. Open in Usystems

  2. Find the user in the list and click Edit or click the user's name.

  3. Update any of the following:

    • Full Name: Change the user's display name.
    • Email or Username: Change the login identifier (must remain unique).
    • Role(s): Add or remove roles. Select the new roles and deselect any that should be removed.
    • Products: Update which product lines the user can access.
    • Locations: Update which warehouses or departments the user can access.
  4. If you need to reset the user's password, look for a Reset Password or Change Password option and enter a new temporary password.

  5. Click Save or Update.

  6. A confirmation message appears. The user's changes are now in effect.

Tips & common mistakes

  • Role changes apply immediately — you do not need to restart the system or ask the user to log out and log back in. However, they will see the new permissions after their next page reload.
  • Removing a role restricts access — if you remove a role that gave the user access to a feature, they will no longer see that feature. Be careful when removing roles from active users.
  • You cannot change the user's login after creation — if the email or username is wrong, contact your system administrator or support.
  • Inactive users still exist in the list — deactivated users can be edited but cannot log in. See Deactivating and reactivating users for more details.
