Resetting another user's password

If a user forgets their password or is locked out of their account, you can reset it by setting a new temporary password. The user should change this temporary password to a new password of their choice the next time they log in.

Before you start

• You must have Admin access or User Management permission.
• Know the user's name or username so you can find them in the system.
• Have a secure way to share the temporary password (e.g., in person, via a secure message).

Steps

1. Go to Settings → Users & Roles → Users. Open in Usystems

2. Find the user in the list and click Edit or click the user's name.

3. Look for a Reset Password option or button. This may be labeled as:

   • Reset Password
   • Set Temporary Password
   • Change Password

4. Click the option. A field appears where you can enter a new temporary password.

5. Generate or enter a strong temporary password (e.g., a mix of letters, numbers, and symbols). Write it down or prepare to share it securely.

6. Click Save, Set Password, or Update.

7. Inform the user of their new temporary password through a secure channel (do not send passwords by email or text without extra security).

8. Tell the user to change the password to something they choose the next time they log in.

Tips & common mistakes

• Use a strong temporary password — avoid simple passwords like "12345" or "password." Use a combination of letters, numbers, and symbols.
• Password changes must be done by the user — you cannot change your own password this way; you must use the "Change My Password" option in the account settings.
• Share the temporary password securely — do not email passwords in plain text. If possible, tell the user in person or via a secure message.
• Users should change the temporary password immediately — after resetting, ask the user to log in and change the password to something only they know.
