Q: How is patient count different from visits?

A: Patient count is the number of unique individuals. Visits is the total number of times anyone came. If Dr. Ahmed sees 50 different patients but 10 of them return for follow-ups, the patient count is 50 but visits is 60.

Q: What does "completion rate" mean?

A: It is the percentage of patients who finished their visit (discharged or marked as done) versus those who were transferred, referred, or left without completing. A high completion rate (90%+) shows good departmental efficiency.

Q: Why is average wait time important?

A: High average wait times indicate patients are waiting long before being seen. This can signal understaffing, scheduling issues, or bottlenecks. Use this metric to identify departments needing more resources or process improvements.

Q: Can I compare the same department across different clinic locations?

A: Yes. Use the Location filter to select one location, run the report, note the numbers, then switch the location filter and run again. Or, if your report allows multi-location display, you can view them side-by-side.

Q: What if a department has zero activity on a date — will it still appear in the report?

A: Yes. The Department Report includes all departments, even those with zero patients on the selected date. This helps you spot departments with no activity and identify potential issues.

Q: Can I see which specific patients visited a department?

A: No. The Department Report shows only aggregated metrics. To see individual patient details, use the Queue page, Patient List, or patient-level reports.

Q: How often should I run this report?

A: That depends on your needs. Clinic managers often run it daily to monitor operations, or weekly/monthly for trend analysis. Some clinics run it after major staffing changes to measure impact.

Q: Why do the numbers change when I re-run the report on the same date?

A: If you re-run the report on the same calendar date but at different times, the numbers may change if new data has been entered (e.g., late-arriving visit records). Always ensure data entry is complete before drawing conclusions.
