Running the Department Report report

The Department Report shows patient activity and statistics broken down by each department in your clinic. Use this report to monitor how busy each department is and track departmental performance.

Before you start

• You must have access to view reports in your role.
• Your clinic must have at least one department set up.
• You will need permission to access the clinical module.

Steps

1. Go to Reports in the main menu. Open in Usystems

2. Look for Department Report in the Operational Reports section.

3. Click Run Report or Generate to execute the report.

4. Wait for the system to process and display the results. You will see a table with one row per department, showing metrics such as patient count, visits, average wait time, and completion rate.

5. The report defaults to today's data. To change the date range, use the Date Range or From/To Date filter at the top and click Apply or Refresh.

6. If your clinic has multiple branches or locations, use the Location or Branch filter to view a specific location.

What you'll see

• Department Name: The name of each clinical department (e.g., General Medicine, Pediatrics, Surgery).
• Patient Count: Number of unique patients seen by that department.
• Visits: Total number of patient visits (one patient may have multiple visits).
• Average Wait Time: How long, on average, patients waited before being seen.
• Completion Rate: Percentage of patients who completed their visit (finished/discharged).
• Status Breakdown: Counts by status if the report includes that detail.

Tips & common mistakes

• The report includes all departments, even those with zero activity on the selected date.
• Use the date filter to compare departments on different days or time periods.
• If you are looking for individual patient details, switch to the Queue or Patient List view.
• Average wait time is useful for identifying which departments may need better staffing.
