Exporting and printing the End of Day report

Save your End of Day report as a file or send it to a printer for records and reconciliation.

Once you have generated your End of Day report, you can save it to a file for archiving, email, or further analysis, or print it for your records.

Before you start

  • You must have already run the End of Day report and have it displayed on your screen.
  • Check that your report includes all the data you need (check the date range, time range, and detailed accounting options).
  • If printing, ensure your printer is connected and turned on.
  • For file export, you will need storage space and permission to save files on your device.

Steps to export the report

  1. Once the End of Day report is displayed, look for the Export button or menu (typically found near the top-right of the report).

  2. Select your desired export format:

    • PDF – Creates a formatted document suitable for printing and archiving.
    • Excel – Exports data to a spreadsheet for further analysis or comparison.
    • CSV – Exports a plain-text file with comma-separated values, useful for importing into accounting software.
  3. Review the export options (for example, whether to include detailed accounting or summary data).

  4. Click Export or Download.

  5. Your browser will either automatically download the file to your default download folder, or a save dialog will appear. Choose a location and filename if needed.

Steps to print the report

  1. Once the End of Day report is displayed, look for the Print button or use your browser's standard print shortcut (usually Ctrl+P on Windows or Cmd+P on Mac).

  2. A print preview window will open. Review the report to confirm all sections are visible and correctly formatted.

  3. Select your printer from the Printer dropdown.

  4. Adjust any print settings if needed:

    • Margins – Reduce margins to fit more data on each page.
    • Scale – Reduce scale (for example, to 80%) to fit wide reports on a single page.
    • Color – Choose color or grayscale printing.
  5. Click Print to send the report to your printer.

File naming and organization

When you export the report, use a clear naming convention for future reference:

  • EOD_2026-07-03_Pharmacy.pdf (for a single-day report)
  • EOD_2026-07-01-to-2026-07-31_Monthly.pdf (for a month-long report)

Store exported files in a consistent folder on your computer or shared drive so you can find them easily during reconciliation or audits.

Accounting impact

Exporting or printing the report does not create any new transactions or change any data in your system. It is a read-only operation that creates a copy of the report data for your records.

Tips & common mistakes

  • If your report is very long, consider printing in landscape orientation to prevent text wrapping.
  • Save a copy of important reports (especially at month-end) to your computer or a backup drive for compliance and audit purposes.
  • If you export to Excel, you can add formulas or formatting to further analyze the data before sharing with your accountant or manager.
