FAQ: Queue Breakdown Report

Quick answers to common questions about the Queue Breakdown report.

Q: How often does the Queue Breakdown report update?

A: The report shows a snapshot at the moment you generate or refresh it. To see the latest numbers, click the Refresh button or close and reopen the report. Real-time updates are not automatic; you must manually refresh.

Q: Can I see historical queue data (not just today)?

A: Yes. Use the Date filter to select any past date. This will show you what the queue breakdown looked like on that date. Note that historical data is only available if your clinic has been using Usystems long enough to have records from that date.

Q: Why does my report show no data?

A: This usually means no patients are in any queue at that moment, or all queues have been filtered out. Check:

  • The date you selected is a clinic business day.
  • At least one queue is selected in the Queue filter.
  • At least one status (Waiting, In Consultation, Completed) is selected.

Q: Can I see individual patient names, not just counts?

A: No. The Queue Breakdown report shows only aggregate counts by status and queue. To see individual patient details, use the Queue page and view patients in real time.

Q: What if our clinic uses multiple departments — will the report show all of them?

A: Yes, by default. If you want to see only one department's queues, use the Department filter (if available in your setup) to narrow the report.

Q: Can I export the report data to analyze it further in Excel?

A: Yes. Click Export and select Excel or CSV. The data will download and you can open it in any spreadsheet application.

Q: Why do the numbers change when I refresh?

A: Queue numbers change in real time as staff move patients between statuses and as new patients arrive. Refreshing the report shows you the current state.
