Adding doctors and their profiles
Register doctors in your system with contact details, specialties, and availability.
Adding doctors to your Usystems clinic creates a directory of healthcare providers and allows the system to assign patients to the correct physician. Each doctor record includes contact details, qualifications, specialties, and scheduling information.
Before you start
- You have Admin or Users & Roles permission
- Have the doctor's full name, contact details, and medical license or ID number ready
- Know the doctor's specialties (Orthopedics, Pediatrics, Cardiology, etc.) if applicable
- Decide whether the doctor is available for scheduling
Steps

Go to Contacts → Doctors
Open in Usystems -
Click New Doctor or the + button in the top-right corner

Enter the doctor's Full Name (required)
Use the name as it appears on their medical license -
Enter Email and Phone (recommended)
These are used for internal clinic communication -
Enter Medical License Number or ID (optional but recommended)
This helps verify credentials and improves record-keeping -
Select Specialties (e.g., Orthopedics, General Practice, Dentistry)
Doctors can have multiple specialties -
In the Contact Address section, add the doctor's office or clinic location

Set Status to Active if this doctor will be available for appointments now, or Inactive if they are off-duty or visiting

Click Save
The doctor is now registered and can be assigned to patients and consultations.
Setting up doctor availability (optional)
If your clinic uses scheduling features:

Open the doctor's record and click Edit

Look for the Schedule or Availability section

Set working hours and days off if required by your clinic workflow

Click Save
Important notes
- Doctor codes: Each doctor receives a unique identifier for use in medical records and reports.
- Multiple specialties: Doctors can practice in more than one field. Use the Specialties field to list them all.
- Privacy: Doctor phone and email are used internally only. They do not appear on patient-facing invoices.
- Edit anytime: Update doctor information (name, phone, specialties) at any time without affecting past medical records.
Tips & common mistakes
- Spelling accuracy: Verify the doctor's name spelling matches their official credential to avoid confusion in medical reports.
- Specialties help with search: Patients and staff can filter doctors by specialty, so be precise when entering them.
- Inactive doctors: If a doctor leaves the clinic, mark them Inactive rather than deleting. This preserves their medical history with past patients.
- User account vs. doctor record: A doctor can have a Usystems user account (to log in and manage patients) separately from their doctor profile. These are linked but distinct.
