Quick answers to common questions about patient registration and management.
Can I delete a patient record?
No, patient records are permanent. Once a patient is registered, their record cannot be deleted. If you need to hide a patient from the active list, you can mark them as Inactive in their record. This removes them from routine searches while keeping all historical data intact.
What happens if I enter the wrong date of birth?
You can correct it at any time. Click Edit on the patient record and update the date of birth. All calculated fields (such as age on medical forms) will automatically reflect the change. Past appointment dates and prescriptions are not affected.
Can I search for a patient by email?
No, the search field searches by patient code, name, or phone number only. If you need to find a patient by email, ask the clinical staff to note the email in the address field or contact information section for reference.
What if a patient has the same name as another?
Usystems automatically assigns each patient a unique code at registration. This code appears on all invoices and medical records, so staff can easily distinguish between patients with identical or similar names. Always use the patient code when verifying identity.
Can I merge two patient records?
No, patient records cannot be merged manually. If you accidentally created duplicate records for the same person, contact your administrator. They may be able to consolidate the records, but this requires system-level changes.
Do patient details appear on invoices?
Yes, the patient's name and code appear on all invoices, prescriptions, and clinical reports. Any updates to the patient's information will be reflected on future documents. Past documents retain the patient information as it was at the time of issue.
Can I change a patient's code?
No, patient codes are permanent and cannot be changed after registration. If a code was entered incorrectly at signup, contact your administrator for assistance.
What information is required to register a patient?
Only the patient name is mandatory. Age (or date of birth), phone, email, and address are optional but recommended for accurate billing and communication.
