Add or subtract bonuses and deductions from an employee's payroll in Usystems.

Bonuses and deductions allow you to adjust an employee's payroll by adding extra payments (bonuses, incentives, allowances) or subtracting amounts (loan repayments, insurance deductions, fines). These adjustments appear separately on the payroll record so you can track them independently from the base salary.
Before you start
- You have access to the HR module and permission to create or edit payroll
- The employee record exists and is active in the system
- You know the bonus or deduction amount and its effective date
- Have the reason or category for the adjustment ready (e.g., "performance bonus," "insurance deduction")
Steps
- Navigate to HR → Payroll Open in Usystems
- Find the employee and payroll period you want to adjust
- Open the payroll record by clicking on the employee name or the payroll entry
- Look for the Adjustments section or button (may be labeled "Add adjustment" or similar)
- Click to add a new bonus or deduction
- Choose the adjustment type: select whether this is a Bonus (addition) or Deduction (subtraction)
- Enter the adjustment amount in the amount field
- Add a brief description (e.g., "Performance incentive Q2", "Health insurance monthly")
- Confirm the effective date matches the payroll period
- Save the adjustment by clicking Save or Confirm
The adjustment is now recorded and will be included in the employee's payroll calculation for that period.
Accounting impact
- Bonuses: increase the employee's gross pay; typically debited to a salary expense account and credited to accounts payable (or cash, if paid immediately)
- Deductions: reduce the employee's net pay; typically debited to a deduction liability account (e.g., loan repayments, insurance) and credited to the employee's salary payable
Tips & common mistakes
- Enter the full amount, not a percentage — the system will not auto-calculate percentages
- Use a clear, consistent description so payroll audits and employee inquiries are easier to handle
- Do not apply the same adjustment twice; verify it has not already been entered before adding it
- Deductions for external parties (insurance, loans) should have a supporting document or approval on file
