Correcting opening balances after setup
When you first set up your company's accounts in Usystems, you establish opening balances to represent what was owed, owned, or carried forward from your previous system. If you discover an opening balance is incorrect after setup, you can adjust it through the chart of accounts.
Before you start
- Permissions needed: Access to account management settings (typically a Finance Admin or company administrator).
- What you'll need: The correct opening balance amount for the account and the date it should apply.
- When to do this: Only correct opening balances before you begin active business operations; corrections after transactions are recorded will create audit issues.
Steps

Go to Accounts → Chart of Accounts. Open in Usystems

Find the account with the incorrect opening balance. Use the search or filter if the list is long.

Click on the account name to open its details.

Look for the Opening Balance section. The current opening balance amount and date are shown here.

Click Edit (or the pencil icon) next to the opening balance.

Enter the correct opening balance amount. If the account is an asset or expense, enter the amount as a positive number. If it is a liability, equity, or income account, the system automatically interprets the balance correctly.

Confirm the effective date—usually the first day of your fiscal year.

Click Save to record the correction.
The corrected balance now appears in all reports and account ledgers dated on or after this change.
Accounting impact
When you change an opening balance, the double-entry is recorded as:
- If you increase an asset or expense account: debit the account, credit an opening balance equity account (typically "Opening Balance Adjustment" or similar).
- If you decrease an asset or expense account: credit the account, debit the opening balance equity account.
- For liabilities and equity: the reverse.
The opening balance equity account must balance to zero across all accounts before the period closes.
Tips & common mistakes
- Verify before correcting: Double-check that the incorrect balance is truly an error in Usystems, not a timing issue in your source data.
- Do this early: Changing opening balances after you have recorded transactions can make reconciliation difficult.
- Watch the decimal: Small rounding errors can compound; confirm the amount down to the smallest currency unit.
- Opening balance equity must net to zero: If you correct multiple accounts, ensure the total of all opening balance adjustments sums to zero across your chart.
