Printing documents: invoices, receipts, tickets and reports

Print business documents and reports directly from Usystems using your configured printers.

You can print most business documents from Usystems directly to your configured printers. This includes invoices, bills, sales receipts, purchase orders, and reports. Print options appear on each document's detail page and in bulk-action menus.

Before you start

  • A printer must be configured in your system by an administrator using the print agent
  • You need permission to view and print the document type (e.g., invoices)
  • The print agent service must be running on your company's network machine
  • If you are printing to a network printer, ensure it is online and has paper

Steps

  1. Open the document you want to print. Navigate to Invoices → [select an invoice], Bills → [select a bill], or the relevant list. Open in Usystems

  2. On the document detail page, look for the print button (or menu icon) in the toolbar at the top or bottom of the page.

  3. Click the print option. A menu or dialog will appear showing available printers.

  4. Select the printer you want to use from the dropdown.

  5. If the document has a custom template associated with it, the selected template will be used for formatting. Otherwise, the default template applies.

  6. Click Print to send the document to the printer.

  7. The document will be queued to your print agent. A success message will confirm the print job was submitted.

To print multiple documents at once:

  1. Navigate to the document list (e.g., Invoices, Bills, Sales Receipts).

  2. Select the documents you want to print using the checkboxes.

  3. Click the bulk-action menu (often a three-dot icon or Actions button).

  4. Choose Print and select a printer.

  5. All selected documents will be sent to the printer in order.

Accounting impact

Printing a document does not create or change any accounting records. It is purely a display and output action. The document's financial entries remain unchanged.

Tips & common mistakes

  • If printing fails, check that the print agent is running and the selected printer is online.
  • Some templates may require specific paper sizes (e.g., A4 or letter). Ensure your printer is loaded with the correct paper.
  • Printing does not mark a document as sent or delivered—it is only a local print action. To record that you have sent a document, use the document's status workflow (if available).
  • If you do not see a print option, you may not have permission to print that document type. Ask your administrator.
