Purchase Order won't save: common causes
Diagnose why a purchase order fails to save and fix the issue quickly.
Symptom
When you try to save a purchase order in Usystems, the form does not submit and displays an error message, or the page refreshes without saving your work.
Likely causes (ordered by probability)
1. Missing required fields
A field marked as required is empty, or a selection (vendor, item, quantity) is not complete.
Fix: Look for a red asterisk (*) or error highlight on the form. Common required fields are:
- Vendor — you must select or create a vendor contact.
- Items — at least one line item with a product/service, quantity, and unit price.
- Delivery date — the expected date when goods arrive.
Fill in any empty required fields and try again.
2. Invalid quantity or price
You entered a value that the system cannot accept (e.g., a negative number, text instead of a number, or zero quantity).
Fix: Check the Quantity and Unit Price columns. Both must be positive numbers. If you see an error tooltip, correct the value and try saving again.
3. No permission to create Purchase Orders
Your user role does not have the "Add Purchase Order" permission.
Fix: Ask your administrator to grant you the Add Purchase Order permission. Until then, you can view and comment on existing orders, but cannot create new ones. Go to Settings → Users & Roles Open in Usystems and request access.
4. Duplicate item in the same order
You added the same product or service more than once to the order. The system may reject this if it detects a conflict.
Fix: Review the items list. If you meant to increase the quantity of one item, delete the duplicate row and update the quantity of the single row instead.
5. Session expired or network interrupted
Your login session expired while you were editing, or the network connection was lost.
Fix:
- Check your internet connection.
- If the page shows a login screen, log in again and re-enter the purchase order.
- Try using a wired connection or moving closer to your Wi-Fi router if you are on mobile.
6. Browser cache or incompatible browser
Outdated cached data or an unsupported browser version can cause save failures.
Fix:
- Clear your browser cache and cookies, then try again.
- Use a recent version of Chrome, Firefox, Safari, or Edge.
- Try the form in a private/incognito window to bypass the cache.
When to contact support
If you have filled in all required fields, verified quantities and prices are valid, and you still cannot save:
- Take a screenshot of the error message (if any).
- Note the exact steps you took before the error.
- Contact your system administrator or Usystems support with these details.
