Registering a new patient at the front desk
Create a patient record when they arrive at your clinic or hospital.
When a patient arrives at your clinic or hospital, you need to register them in Usystems so that their medical history, appointments, and billing information are linked to their record. This article walks you through registering a new patient at the front desk.
Before you start
- You must have access to the Patients section in Usystems (your administrator may need to grant this permission).
- Have the patient's basic information ready: full name, date of birth, phone number, and address if available.
- If the patient is returning to the clinic but has no existing record, register them as a new patient.
Steps

Go to Patients → New Patient and click the link below to open the patient registration page: Open in Usystems

Enter the patient's full name in the Name field.

Enter the patient's date of birth (or age if the exact date is not known). This is used to calculate the patient's current age in medical records.

Enter the patient's phone number if available. This allows the clinic to contact the patient for appointment reminders or follow-ups.

Enter the patient's address (city, street, or postal area) if available. This information is optional but helpful for the clinic's records.

If the patient has any existing medical allergies or chronic conditions that should be noted, you can add them now or update them later.

Click Save to create the patient record.
Once the patient is registered, they will appear in your Patients list and can be selected for appointments, medical cases, or billing transactions.
Tips & common mistakes
- Keep names consistent: if a patient's name is spelled differently than in their previous visits, their medical history may not be linked. When in doubt, verify the spelling with the patient.
- Date of birth is important: Usystems uses the date of birth to identify patients and calculate age-related data (such as pediatric dosing). Double-check this field.
- Phone numbers help with follow-up: even if the patient does not want to provide a phone number, asking is a good practice for clinic communication.
- You can edit the record later: if the patient provides more information after registration (such as allergies), you can open their record and add it at any time.
