FAQ: Working with Refund Documents
Quick answers to common questions about creating, managing, and processing refunds.
Can I refund part of an invoice?
Yes. When you create a refund, you choose which line items to refund and how many units of each. If you refund only some items or quantities, the customer still owes the remainder of the invoice. You can create multiple partial refunds for the same invoice over time.
What if I made a mistake and created a refund by accident?
If the refund is still in draft status, open it and click Delete. The refund is permanently removed and does not affect any accounts.
If the refund has already been approved (pending or completed), you cannot delete it. Instead, cancel it. Cancelling reverses the accounting impact and restores the customer's balance to what it was before the refund.
Can I edit a refund after it has been completed?
No, you cannot edit a completed refund. If you need to change it, cancel the completed refund and create a new one with the correct details. This keeps your audit trail clean.
Does a refund show up on the customer's invoice?
Yes. Once a refund is completed, it appears in the refund history on the original invoice. The customer can see the refund amount and date. The invoice balance is automatically adjusted.
What happens to inventory when I create a refund?
That depends on your configuration. Some businesses automatically return the refunded items to inventory (increasing stock). Others manage inventory separately. Ask your administrator how refunds affect your inventory accounts.
Can I see all refunds for a customer in one place?
Yes. Go to Contacts, open the customer, and you can view their transaction history or ledger, which includes all invoices and refunds. You can also filter the Refunds list by customer name.
Why can't I print my draft refund?
Printing is only available for refunds that have been submitted (pending) or finalized (completed or cancelled). Draft refunds are still being edited and are not yet ready to send. Save and submit your draft, and then you can print.
What's the difference between cancelling and deleting?
- Delete: removes a draft refund completely. It is gone from the system. Use this only for refunds you created by mistake.
- Cancel: marks a completed refund as reversed. The refund record remains in your system for audit purposes, but its accounting impact is undone.
Does refunding an invoice affect my tax records?
Yes. A refund reduces or eliminates the original sale, which may lower your taxable revenue and change your tax liability. Consult your accountant if you have questions about the tax impact of refunds for your business.
Can I refund a customer who paid using their advance balance?
Yes. You create a refund normally. When you refund a customer's advance payment, it increases their advance balance (credit) rather than giving them cash back. The refund is still recorded in your books.
What if the customer doesn't accept the refund?
If a completed refund needs to be reversed (the customer rejects it or changes their mind), open the refund and click Cancel. This undoes the refund and restores the invoice balance. The original refund and its cancellation both remain in your history.
