Reading and interpreting the Invoice Detail report

Understand what each column in the Invoice Detail report means and how to use it for analysis.

What is the Invoice Detail report?

The Invoice Detail report breaks down every line item from every invoice. Instead of showing one row per invoice (like a summary), it shows one row per line item—so a single invoice with three products appears as three rows in the report.

Why it matters

When you need to understand which products are selling, to whom, and at what price, this report is your primary tool. You can:

  • Find your best-selling items across all invoices
  • Compare prices charged to different customers
  • Audit individual sales transactions
  • Analyze sales trends by product or customer over time

How it works in Usystems

When you run the Invoice Detail report:

  1. Each row = one line item from an invoice. If Invoice #101 has 3 products, you see 3 rows.
  2. Columns include: invoice number, date, customer, product, quantity sold, unit price, line total, any discounts applied, taxes, and the net amount.
  3. One row per line—discounts and taxes are already calculated into the amounts shown.
  4. You control the time period and can filter by customer, product, or other criteria.

The data comes directly from your finalized (posted) invoices in Usystems. Draft invoices are not included unless you specifically include them.

Where you see it

  • Reports → Sales Reports → Invoice Detail — the main place to generate this report.
  • Use it alongside the Sales Summary report (which shows totals by customer or period) for a complete picture.
  • Export the data to spreadsheet for further analysis, charting, or sharing with management.

Key columns explained

  • Invoice Number: The unique ID of the invoice containing this line.
  • Date: When the invoice was created or posted.
  • Customer: The buyer (contact name).
  • Product/Item: The name of the product or service sold.
  • Quantity: How many units were sold in this line.
  • Unit Price: The price per unit before any line-level discounts.
  • Line Total: Quantity × Unit Price.
  • Discount: Any discount applied to this line (amount or percentage).
  • Tax: Sales tax or VAT on the line (if configured).
  • Net Amount: The final amount after discounts and taxes.
