Exporting and printing the Invoice List report
Save or print your invoice list for offline use, accounting records, or sharing.
You can export the Invoice List report to a file (such as Excel or CSV) or print it directly. This is useful for keeping records, sharing with your accounting team, or analyzing data in a spreadsheet.
Before you start
- Apply any filters you need (date range, customer, status) before exporting — the export will include only the filtered results you see on screen.
- Make sure you have permission to export reports. Ask your administrator if the export option is not visible.
- Decide whether you want to export to Excel (better for editing and formulas) or CSV (better for compatibility with other tools).
Steps to export
-
Open the Invoice List report and apply the filters you need (date range, customer, status, etc.).
-
Look for an Export button or menu near the top of the report. The button may be labeled "Export to Excel," "Download," or have a download icon.
-
Click the export button and choose your desired format (Excel, CSV, or PDF if available).
-
The file will download to your computer's default Downloads folder. The file name will be something like "invoice-list-2026-07-03.xlsx".
-
Open the file in your spreadsheet application (Excel, Google Sheets, etc.) to review, edit, or analyze the data.
Steps to print
-
Open the Invoice List report and apply the filters you need.
-
Look for a Print button or icon, or use the keyboard shortcut Ctrl+P (Windows) or Cmd+P (Mac).
-
A print dialog will appear. Choose your printer and adjust print settings (page orientation, number of copies, etc.) as needed.
-
Click Print to send the report to your printer.
Tips & common mistakes
- Filters matter: The export includes only the invoices visible in your filtered view. If you want all invoices, clear all filters before exporting.
- File format: Excel files (.xlsx) are best if you plan to edit or add formulas. CSV files (.csv) work with almost any spreadsheet or database tool.
- Date format: Exported dates may appear in different formats depending on your region and application. If the date looks wrong, check your computer's regional settings.
- Large exports: If exporting thousands of invoices, the file may be large and take time to download or open. Consider exporting a narrower date range if the file is slow.
