Reading and interpreting the Paid Invoices report

Understand what each column means and how to use the data to manage sales performance.

The Paid Invoices report displays a complete history of all invoices that customers have fully settled. Understanding each column helps you analyze sales trends and customer payment patterns.

What the columns show

Invoice Number: The unique identifier for each invoice in your system.

Customer Name: The name of the customer who purchased goods or services.

Invoice Date: The date the invoice was originally issued.

Amount: The total value of the invoice, including any taxes and discounts applied.

Payment Date: The date when the customer fully paid the invoice.

Payment Method: How the customer made the payment (cash, check, bank transfer, etc.).

Days to Pay: The number of days between the invoice date and the payment date. A lower number indicates faster payment.

Notes: Any additional information recorded on the invoice.

How it works in Usystems

Each row represents one paid invoice. An invoice appears in this report only after the entire amount has been received. If an invoice has a partial payment, it will not show here until all remaining amounts are collected.

The report reflects the current state of your invoices. If a customer later requests a refund for a paid invoice, the invoice may disappear from this report if it is reversed or canceled.

Why it matters

This report helps you:

  • Track cash received from customers over a specific time period
  • Monitor payment patterns (which customers pay quickly, which take longer)
  • Analyze sales performance and revenue trends
  • Reconcile invoices with bank deposits
  • Verify that recorded payments match actual customer payments

Where you see it

Access the Paid Invoices report from Reports → Sales Reports → Paid Invoices Report. Open in Usystems

You can also view individual invoice payment status by opening a specific invoice in Invoices. Open in Usystems
