Exporting and printing the Sales by Item report
Save or print your Sales by Item report in various formats for sharing or archival.
Once you have generated your Sales by Item report, you can export it to a file or print it for distribution, filing, or further analysis in spreadsheet software.
Before you start
- You must have already run the Sales by Item report and see the results on screen.
- Decide which format you need: PDF (for printing or archival), Excel (for further analysis), or another available format.
- Ensure you have sufficient disk space or printer access.
Steps to export

On the report results page, look for an Export button or menu (often represented by a download icon or labeled "Export As"). Open in Usystems

Choose your desired export format from the dropdown or menu:
- PDF — best for printing and sharing unchanged.
- Excel (XLSX) — best for further calculations, pivot tables, or combining with other data.
- CSV — best for importing into other systems or advanced spreadsheet operations.

Click Export or Download. A file will be saved to your computer's downloads folder (or prompted for a location).

Open the file in your preferred application:
- PDF files open in a PDF reader or web browser.
- Excel files open in Microsoft Excel, Google Sheets, or similar spreadsheet software.
- CSV files open in a spreadsheet or text editor.
Steps to print

On the report results page, look for a Print button or icon.

Your browser's print dialog will open. Choose:
- Printer: select your physical printer or "Print to PDF" if saving digitally.
- Page orientation: Portrait (taller) or Landscape (wider). Landscape is often better for wide reports with many columns.
- Margins: Adjust if the report has many columns.

Preview the output to ensure all columns are visible and readable.

Click Print to send to your printer or save.
Tips & common mistakes
- Column overflow: If printed columns are cut off or too narrow, try exporting to Excel and adjusting column widths before re-printing.
- Large product lists: Reports with hundreds of items may have multiple pages. Review the print preview to count pages before printing.
- File naming: When exporting, consider adding the date range and focus to the filename (e.g.,
Sales_by_Item_Jan2026_Electronics.xlsx) to stay organized. - Spreadsheet enhancements: After exporting to Excel, you can add charts, pivot tables, or conditional formatting to highlight trends and outliers.
- Secure sharing: PDF is safest for sending to team members or external parties who shouldn't edit the underlying data.
