Running the Sales Returns report
Generate a report of all returned items to track returns, refunds, and reason codes.
The Sales Returns report shows every item returned by customers, with details about the return date, amount, reason, and customer. Use this to understand return patterns, identify quality issues, and track refund impact on revenue.
Before you start
- You need permission to view Reports.
- The report includes all sales returns recorded in the system.
- Have a date range in mind (e.g., this month, this quarter, or last year).
Steps

Go to Reports from the main menu. Open in Usystems

Look for Sales Returns in the list of reports.

Click Run or Generate next to the report name.

(Optional) Choose filters:
- Date range: Select the start and end dates for the period you want to analyze.
- Customer: Select a specific customer, or leave blank to see returns from all customers.
- Product: Select a specific product that was returned, or leave blank to see all returned items.
- Reason: If return reasons are tracked, filter by the reason for return (e.g., "Defective," "Wrong item," "Customer request").
- Currency: If you use multiple currencies, select the one you want to view.

Click Run or Generate to produce the report.

The report appears on screen with a row for each return. Each row shows the customer name, return date, product returned, quantity, refund amount, and return reason.
Accounting impact
This is a read-only report. It shows return transactions (reverse sales) posted to your revenue accounts. It does not create or modify any transactions. Returns reduce your net sales and may trigger refunds or credits.
Tips & common mistakes
- Track by reason: if your company records return reasons, use the Reason filter to identify patterns (e.g., high defect rates, shipping damage, customer dissatisfaction).
- Returns vs. refunds: a return is when a customer sends back the item; a refund is the money paid back. This report shows both the return and the refund amount.
- One row per return line: if a customer returned multiple items on the same invoice, you will see multiple rows (one for each item).
- Seasonal patterns: returns may spike during busy seasons or after bulk sales. Run this report monthly to spot trends.
