Shifts and work schedules
Create and manage work shifts to define employee schedules and expected hours.
Jul 11, 2026
A shift defines the expected work hours and schedule pattern for your employees. By setting up shifts in Usystems, you can track which employees work when and calculate attendance or overtime accurately.
Before you start
- You must have HR admin permissions.
- Decide what shifts your organization uses (e.g., morning, afternoon, night, full-day).
- Note the start and end times for each shift.
- Consider whether shifts are fixed daily or vary by day of the week.
Steps
-
Go to HR Settings by clicking the menu icon and selecting HR → Settings. Open in Usystems
-
In the Settings page, find and click the Shifts section.
-
Click Add Shift or the plus icon to create a new shift.
-
Fill in the shift details:
- Shift Name: Enter a clear name (e.g., "Morning Shift", "Evening Shift").
- Start Time: Set the time when the shift begins (e.g., 08:00).
- End Time: Set the time when the shift ends (e.g., 17:00).
- Days of Week: Select which days this shift applies (e.g., Monday–Friday).
-
If your shift spans midnight (e.g., night shift from 22:00 to 06:00), enable the Overnight toggle if available.
-
Click Save to create the shift.
-
Repeat steps 3–6 for each shift your organization uses.
Tips & common mistakes
- Ensure shift names are distinct: Use clear names like "Morning (08:00–17:00)" to avoid confusion.
- Set up shifts before assigning employees: Create all shifts first, then assign them to employees or job roles.
- Use consistent time formats: Stick to 24-hour time (HH:MM) to prevent errors.
- Review shifts regularly: If your organization changes working hours, update shifts immediately so attendance tracking stays accurate.
