Transferring Money Between Accounts

Use account transfers to move funds from one general ledger account to another—for example, moving cash from a current account to a savings account, or redistributing money between operational and reserve accounts. This action updates your chart of accounts and records the transaction for audit purposes.

Before you start

  • Permissions: You need permission to create journal entries (transactions). Contact your administrator if you cannot access the transactions page.
  • Data needed: Know the source account (where money is moving from) and the destination account (where it is moving to), plus the amount and date of the transfer.
  • Account status: Both accounts must be active (not archived or closed) in your chart of accounts.

Steps

  1. Go to Transactions → New Transaction to open the journal entry form. Open in Usystems

  2. In the Description field, briefly explain the transfer (e.g., "Transfer to savings account" or "Inter-account settlement").

  3. In the first line:

    • Select the source account (the account you are transferring FROM).
    • Choose Debit or Credit depending on the account type and direction of the transfer.
    • Enter the amount being transferred.
  4. In the second line:

    • Select the destination account (the account you are transferring TO).
    • Choose the opposite entry type (Credit if the first line is Debit; Debit if the first line is Credit).
    • Enter the same amount.
  5. Set the Date to when the transfer occurred.

  6. Review both lines to ensure the total debits equal the total credits, then click Save.

Accounting impact

Account transfers create balanced journal entries with no net profit or loss. If you transfer from a cash account to a savings account:

  • The source account (cash) is credited (reduced).
  • The destination account (savings) is debited (increased).

Both sides of the ledger remain in balance.

Tips & common mistakes

  • Check balances first: Before transferring from a source account, confirm it has sufficient funds. Usystems will not prevent an overdraft at entry time.
  • Use clear descriptions: A clear reason helps your auditor and future readers understand why the transfer occurred.
  • Match amounts exactly: Ensure the debit and credit amounts are identical; the system requires balanced entries.
  • Date matters: Use the actual date the transfer happened, not today's date, for accurate reporting and reconciliation.
