Exporting and printing the Customer Contact List report

After running the Customer Contact List report, you can export it in multiple formats for use in marketing campaigns, mail merges, or record-keeping. This guide shows you how.

Before you start

  • You must have run the Customer Contact List report and have it displayed on screen.
  • You need appropriate permissions to download or print reports.
  • Ensure your printer is connected if you plan to print (not export).

Steps

  1. Open the Customer Contact List report (see "Running the Customer Contact List report" if you need help). Open in Usystems

  2. Once the report is displayed, look for the Export or Download button in the toolbar.

  3. Click Export to see the available formats:

    • Excel (.xlsx) — for detailed analysis, sorting, or creating pivot tables in spreadsheet software.
    • CSV (.csv) — for mail-merge software, email marketing platforms, or other systems.
    • PDF — for printing, archiving, or sharing as a read-only document.
  4. (Optional) Before exporting, check the box for Include Labels if you want column headers (e.g., "Customer Name," "Phone," "Email") to appear in the first row. This is useful for mail-merge.

  5. Select your desired format.

  6. The file will download to your computer. Save it with a clear filename (e.g., "Customer_List_2026.xlsx") for easy reference later.

  7. To print instead:

    • Click the Print button (if available) or use your browser's print function (Ctrl+P or Cmd+P).
    • Choose your printer and print template (e.g., "Labels for Mailing" to print address labels).
    • Confirm and print.

Common use cases

  • Mail-merge: export as CSV, open in Word or Google Docs, and use the mail-merge feature to create personalized letters or emails.
  • Email marketing: export as CSV and import the list into your email marketing platform (e.g., Mailchimp, SendGrid).
  • Sales follow-up: export to Excel, sort by region, and create a calling list for your sales team.
  • Mailing labels: print using the "Labels for Mailing" template to create address labels for postal campaigns.

Tips & common mistakes

  • Always use CSV for mail-merge: mail-merge tools are designed to read CSV format. Excel files may not import correctly.
  • Include headers: when exporting for mail-merge or email marketing, check "Include Labels" so the first row contains field names.
  • Backup your exports: if you export customer data regularly, save copies in a secure location for record-keeping and audit trails.
  • Verify email addresses: before importing into an email marketing tool, spot-check the exported file to ensure email addresses are complete and correct.
