Reading and interpreting the Vendor Contact List report

The Vendor Contact List report is a reference document that consolidates all vendor master data into a single, easy-to-scan format. Each row represents one vendor contact; columns include company name, contact person, phone, email, address, and payment terms.
Why it matters
Maintaining accurate, up-to-date vendor information is essential for efficient procurement and communication. This report lets you quickly verify that your supplier database is current, identify missing contact details, and ensure consistent payment terms across your vendor base. It also serves as a backup reference if your vendor database becomes corrupted or unavailable.
How it works in Usystems
When you run the Vendor Contact List report, Usystems queries your contact database and extracts all records marked as vendors. Each vendor's core details are displayed in columns:
- Vendor Name — The registered company or trading name of the supplier.
- Contact Person — The primary person to contact at the vendor (if populated).
- Phone Number — The vendor's primary business phone.
- Email Address — The vendor's email address for correspondence.
- Physical Address — The vendor's registered business address (street, city, postal code, country).
- Payment Terms — The agreed terms (e.g., Net 30, Cash on Delivery, 2/10 Net 30).
- Vendor Code or ID — The internal identifier assigned to the vendor in your system.
The report includes all active vendors unless you filter by specific criteria (region, payment terms, or status).
Where you see it and how to use it
- Purchasing team. Use this report to verify vendor contact information before placing orders or sending purchase orders.
- Accounts payable. Cross-check payment terms when processing invoices to ensure discounts or early-payment terms are correctly applied.
- Management review. Audit the vendor list periodically to retire inactive suppliers or consolidate duplicate records.
- Vendor communication. Extract the contact list for direct outreach (e.g., inviting vendors to provide quote updates or participate in audits).
Common patterns you may see
- Missing contact person or email. Some vendors may have incomplete contact information. Flag these for follow-up or data entry.
- Duplicate vendors. If you see two vendors with similar names, confirm they are truly different suppliers (e.g., "Acme Inc." vs. "Acme Inc. - Branch B") or consolidate into a single record.
- Mismatched payment terms. Vendors with the same product category should have comparable payment terms; significant gaps may indicate inconsistent negotiations.
- Inactive vendors. The report includes all vendors; you may want to filter or mark inactive suppliers separately in your vendor records.
