Running the Vendor Payments report
Generate a report showing all vendor payments by date, amount, and payment method.
The Vendor Payments report shows all payments made to your vendors, helping you track cash flow and vendor relationships. This report is useful for reconciling vendor accounts, analyzing spending patterns, and verifying payment records.
Before you start
- You need access to the Reports module.
- Your accounting data must be up to date (all payments recorded).
- You can filter by date range, vendor, payment method, and other criteria for focused analysis.
Steps

Go to Reports in the main menu. Open in Usystems

Look for Vendor Payments Report under the Purchase & Vendor Reports section.

Click on Vendor Payments Report to open the report builder.

Set the Date Range (e.g., start and end dates for the payment period you want to review).

(Optional) Select specific Vendors to filter by vendor name or group, or leave blank to include all vendors.

(Optional) Choose a Payment Method (e.g., Bank Transfer, Cash) if you want to see only certain types of payments.

Click the Run Report or Generate button to execute the report.

The report will display in a table showing vendor name, payment date, payment amount, payment method, and status. Review the results on screen.
Accounting impact
The Vendor Payments report reflects all payments recorded in the accounting system. When you pay a vendor, the system debits the Accounts Payable account and credits the payment method account (e.g., Bank Account). The report aggregates these credit entries to show total payments by vendor over your selected period.
Tips & common mistakes
- Use date filters to focus: narrow the date range to the period you're analyzing so the report is easier to read.
- Check payment method filters: if you want to see only bank payments (not cash), select the Bank Transfer payment method to exclude cash transactions.
- Export for records: if you need to send the report to an auditor or stakeholder, use the export function (Excel or PDF) to create a shareable record.
- Payment status matters: some payments may be pending or cancelled; the report includes the status so you can identify which payments have cleared.
