Reading and interpreting the Invoice List report

Understand what each column means and how to use the data to manage your sales.

What the Invoice List report is

The Invoice List report is a comprehensive view of all sales invoices in your system. Each row represents one invoice, and the columns display key information about that invoice — when it was created, who it was sold to, how much they owe, and whether it has been paid.

Why it matters

Understanding your invoice list helps you:

  • Track unpaid amounts: Quickly see which invoices are still waiting for payment so you can follow up with customers.
  • Analyze sales trends: See patterns in invoice dates, customer frequency, and order sizes over time.
  • Reconcile payments: Match paid invoices with bank deposits and accounting records.
  • Monitor cash flow: Identify which customers have large outstanding balances that affect your cash position.
  • Find specific invoices: Search and filter by date, customer, or status instead of scrolling through paper records.

How it works in Usystems

When you create an invoice in Usystems, it is automatically added to this report. The report displays the invoice in the list immediately, showing its current status (draft, submitted, partially paid, paid, or overdue). As you record payments against an invoice, the report updates in real time — the "Balance Due" column shrinks, and the "Status" column changes to reflect the new payment state.

The report is multi-tenant-aware: you will only see invoices for your organization (constellation) and for products you have permission to view.

Where you see it

Go to Reports Open in Usystems, then select Sales Reports and Invoice List Report. The report can also be accessed via custom views and dashboards if your administrator has set them up.

Common columns explained

  • Invoice Number: A unique identifier for the invoice (often auto-generated, e.g., "INV-001").
  • Date: The date the invoice was created.
  • Customer: The name of the customer who was sold to.
  • Amount (or Total): The total invoice value before any payments.
  • Balance Due: The remaining unpaid amount. This is zero when fully paid.
  • Status: The current state of the invoice (e.g., Submitted, Paid, Overdue, Partially Paid).
  • Due Date: The date by which payment was requested (if applicable).
