Running the Open Invoices report
Find all unpaid or partially paid invoices to track outstanding customer debt.
The Open Invoices report displays only invoices that still have an unpaid balance. This report helps you quickly identify which customers owe you money, how much they owe, and how overdue the invoices may be. Use this report for credit collection, cash flow planning, and customer account reviews.
Before you start
- You must have permission to view sales reports. Ask your administrator if the Reports menu is not visible.
- The report requires at least one unpaid invoice in your system to be useful. If you have not created any invoices yet, the report will be empty.
- Decide whether you want to see only recently issued invoices or include older outstanding invoices.
Steps

Open the main menu and go to Reports Open in Usystems.

Look for Sales Reports section and select Open Invoices Report.

The report will load automatically. A table displays all unpaid and partially paid invoices, showing columns such as invoice number, customer, amount due, due date, and days overdue (if applicable).

Review the list to identify invoices with the largest outstanding balances or the most overdue invoices.

(Optional) Apply filters to narrow the results — for example, filter by date, customer, or amount due to focus on specific invoices.

Click on any invoice row to open the full invoice document and see payment history or other details.
Accounting impact
Open invoices represent accounts receivable (money owed to you by customers). The total of all open invoices appears on your balance sheet under Current Assets. As you record payments, individual invoices move from "open" to "paid" status and reduce your receivable balance.
Tips & common mistakes
- Regular review: Check this report weekly or monthly as part of your cash flow management to stay on top of customer payments.
- Age of invoices: Invoices listed here may be days, weeks, or months old. Use the "Days Overdue" column (if available) to prioritize follow-up with customers.
- Payment allocation: When you record a payment, make sure it's applied correctly to the right invoice so the balance updates accurately.
- Currency consideration: If you do business in multiple currencies, the report may show balances in different currencies. Convert to a single currency if you want a total outstanding amount.
