FAQ: Sales by Item Report

Answers to common questions about using and interpreting the Sales by Item report.

AP ۱۴۰۵ چنگاښ ۲۰

Q: Why does an item show zero sales when I know I sold it last month?

A: Check your date range. If the sale occurred outside the selected dates, it won't appear. Also verify that the sale was marked as "posted" or "confirmed"—draft documents are often excluded from reports by default.

Q: What's the difference between "Units Sold" and "Average Unit Price"?

A: Units Sold is the total quantity (number of items, kilograms, hours, etc.). Average Unit Price is the revenue per unit. For example, if you sold 100 units of Product A for AFN 10,000 total, the Average Unit Price is AFN 100.

Q: Can I see cost and profit margin on this report?

A: Yes, if your system administrator has configured item costs. Enable the Include COGS filter option to display Cost of Goods Sold and Profit columns. If COGS doesn't appear, contact your administrator to ensure cost data is set up for your items.

Q: How are bundled items (kits) displayed?

A: By default, bundles may appear as a single line item with combined revenue and quantity. Some systems allow you to disable Include Bundles to break them down by component—ask your administrator if this option is available.

Q: Can I compare sales performance across different time periods?

A: The standard report shows one date range at a time. To compare periods, run the report twice (once for each period) and export both to Excel, then use formulas to calculate changes or growth rates.

Q: How is the "Average Unit Price" calculated if an item has discounts or tiered pricing?

A: The average is calculated as Total Revenue divided by Units Sold, so it reflects the actual average selling price customers paid—already accounting for all discounts, tiered pricing, or promotional rates.

Q: What should I do if a high-selling item has very low profit?

A: Review the item's cost and selling price. You may be able to adjust the selling price up (if demand supports it), negotiate a lower cost with your supplier, or consider discontinuing the item if profitability cannot improve.

Q: Is inventory quantity (stock on hand) shown on this report?

A: No, Sales by Item shows historical sales data, not current inventory levels. Use the Inventory Status report (or the Inventory module) to see stock on hand and reorder points.
