Exporting reports to Excel/PDF and printing

Download reports as Excel or PDF files, or send them directly to your printer.

After running a report, you can save it to your computer as an Excel or PDF file, or print it directly from your browser.

Before you start

  • Run your report first with the filters and date range you need (see "Running reports: dates, filters and drill-down").
  • The exported file will include only the rows and columns visible in your filtered report.
  • If exporting to Excel, your spreadsheet program (Microsoft Excel, Google Sheets, LibreOffice) must be installed to open the file.

Steps

To export as Excel

  1. Run your report. Once the report table appears, look for the Export or Download button (usually near the top right).

  2. Click Export as Excel or Download Excel.

    • A .xlsx file is generated and downloaded to your computer's Downloads folder.
    • The file is named after the report (e.g., Trial_Balance_2026-07-03.xlsx).
  3. Open the file in your spreadsheet program to view, edit, or share.

To export as PDF

  1. Run your report. Look for the Export or Download button.

  2. Click Export as PDF or Download PDF.

    • A .pdf file is generated and downloaded.
    • The file retains the report's formatting and is optimized for printing.
  3. Open the PDF to view it, share it, or print it.

To print directly

  1. Run your report.

  2. Click the Print button or use your browser's print shortcut (Ctrl+P on Windows, Cmd+P on Mac).

  3. Choose your printer and paper size, then click Print.

    • A preview of how the report will look on paper appears before printing.
    • Adjust margins or scale if needed.

Accounting impact

Exporting or printing a report does not alter the underlying data or create any accounting entries. It is a read-only action for sharing or archiving report results.

Tips & common mistakes

  • File sizes. Large reports (many rows or complex data) create large Excel files; PDF is more efficient for archiving and sharing.
  • Formatting in Excel. Exported Excel files preserve column widths and number formats from the Usystems report; you can edit formatting further after download.
  • Check your print margins. If a report spans many columns, preview the printout first to ensure nothing is cut off. You may need to print in landscape orientation or reduce the scale.
  • Browsers block downloads. If your file doesn't appear, check your browser's download folder or settings; some organizations restrict downloads via security policies.
