Why a user cannot see a menu or page (access gates)

Three access gates determine whether a menu or page appears—check product type, data, and permissions.

If a user or role cannot see a menu item or page, the system blocks it at one of three access gates. Each gate is independent, and all three must pass for the page to appear.

Symptom

A user says "I don't see the Invoices menu" or "The Reports page won't load" or "The Settings option isn't there."

Likely causes (in order of probability)

1. Product type doesn't match (Gate 1)

The feature is tied to a specific product type, and this constellation (tenant) is not that product.

Example: The Hospital product has a "Patients" menu. A constellation set up as "Accounting only" will not have that menu, even if the user is an admin.

Fix:

  • Ask your administrator what product type this constellation is configured for.
  • Check Settings → Organization Info to see the product names listed. Open in Usystems
  • If you need to add a new product type, create a new constellation with that product enabled.

2. Required data doesn't exist (Gate 2)

The feature requires setup data that isn't present yet (e.g., "Invoices" requires at least one sales account).

Example: The "POS" menu will not appear until you set up at least one POS register.

Fix:

  • Complete the required setup. For example:
    • Invoices: create a sales account in the chart of accounts.
    • Inventory: add a warehouse.
    • POS: set up a POS register under Settings.
    • Reports: seed some data (e.g., create a few test documents).
  • After adding the setup data, refresh your browser. The menu should appear within a few seconds.

3. Permissions are missing (Gate 3)

The user's roles do not have the required permission for this feature.

Example: A user in the "Viewer" role can see the Invoices menu, but cannot click it because "Viewer" has no invoice permissions.

Fix:

  • Go to Settings → Users & Roles → Roles and edit the user's role. Open in Usystems
  • Check that the role has the permission for this feature (e.g., "View invoices," "View reports").
  • If not, check the permission and save.
  • Ask the user to log out and back in. The menu should appear on their next login.

When to contact support

  • You've confirmed the product type matches and setup data exists, but the menu still doesn't appear.
  • A feature that worked yesterday is suddenly gone.
  • The same user can access a page on a different device but not on another.
  • You are unsure which access gate is the blocker.
