Exporting and printing the Goods on the Way report
Save the Goods on the Way report to a file or print it for team use and planning purposes.
The Goods on the Way report can be exported to a spreadsheet file (Excel or CSV) or printed directly from Usystems. Exporting lets you share the inventory status with team members, perform additional analysis on incoming shipments, or archive the report for tracking purposes. Printing lets you create a physical copy or a PDF for distribution to receiving and warehouse staff.
Before you start
- You must have already run the Goods on the Way report and have it open on your screen.
- Decide whether you want to export (save as file) or print (to printer or PDF).
- If exporting to Excel, ensure you have a spreadsheet application available on your computer.
- If printing, have your printer ready or plan to save as PDF.
Steps to export

On the Goods on the Way report, look for an Export or Download button (usually near the top of the results area).

Click the Export button.

Choose your export format:
- Excel (.xlsx) — Opens in Microsoft Excel, Google Sheets, or similar spreadsheet applications. Preserves formatting and allows sorting, filtering, and calculation.
- CSV (.csv) — Plain text format, compatible with all spreadsheet programs and inventory systems. No formatting.

Click the format you prefer. The file will download to your computer's default Downloads folder.

(Optional) Open the file in your spreadsheet application to verify the data and perform further analysis (e.g., calculate when items will arrive, total quantities expected, value of goods in transit).
Steps to print

On the Goods on the Way report, look for a Print button or icon (usually a printer symbol).

Click the Print button.

A print preview or print dialog will appear showing how the report will look on paper.

(Optional) Adjust print settings:
- Orientation — Choose Portrait (vertical) or Landscape (horizontal). Landscape is often better for wide reports with many columns.
- Paper size — Usually Letter or A4.
- Margins — Adjust if needed.
- Include headers/footers — Choose whether page numbers, date, and report title should appear on each page.

Click Print or Print to PDF:
- Print sends the report to your default printer.
- Print to PDF saves the report as a PDF file to your computer.

If you selected Print, confirm the print job on your printer. If you selected Print to PDF, choose a location to save the file.
Tips & common mistakes
- Check your filters before exporting. If you filtered the report to show only items from a specific vendor or warehouse, the export will include only those filtered results.
- Excel is better for analysis. Export to Excel if you plan to calculate totals, create charts, or analyze when goods will arrive.
- CSV is better for system imports. If you need to import the goods-in-transit list into another inventory system, CSV format often works best.
- Print to PDF for archiving. If you want a permanent record of expected deliveries on a specific date, print to PDF rather than exporting.
- Include expected receipt dates in your export. Make sure the Expected Receipt Date column is visible before exporting so you have timing information in the file.
- File naming. When you export, rename the file with a date (e.g., "Goods_on_Way_2026-07-03.xlsx") so you know when the report was run.
