Feature roles: inventory, payroll, manufacturing and HR managers
Beyond the three core roles (Administrator, Finance, Operations), Usystems includes specialized roles for managers who work with specific modules. These feature roles grant focused permissions for their area while keeping users out of unrelated functions.
What it is
A feature role is a built-in role that provides access to a specific business function. You can assign feature roles to users on top of—or instead of—the core roles. Feature roles work best when combined: for example, a pharmacy might assign both Finance and Inventory Manager to the same person so they can manage inventory and also invoice customers.
The feature roles
Inventory Manager The Inventory Manager role gives users permission to manage warehouses, adjust stock levels, track items, and view inventory reports. Inventory managers can create and view purchase orders and transfer stock between locations. They can see inventory settings but cannot create invoices or manage payments. This role is essential for warehouse and supply chain staff.
Payroll Manager The Payroll Manager role allows users to create and process payroll, manage employee attendance and leave records, and view payroll reports. Payroll managers can also manage employee information (name, department, pay rate). This role does not grant access to invoicing or accounting reports. Only give this role to HR or finance staff who handle compensation.
Manufacturing Manager The Manufacturing Manager role gives users access to the manufacturing module. They can create production orders, manage bills of materials, track raw materials and finished goods, and view production reports. Manufacturing managers can link items to suppliers and manage manufacturing settings. They cannot invoice customers or manage general inventory outside of manufacturing.
HR Manager The HR Manager role allows users to manage employee records (hiring, personal information, documents), attendance, leave requests, and organizational structure (departments, teams). HR managers can create and export HR reports but cannot access payroll or invoicing. This role is intended for dedicated HR staff or small-company administrators who handle HR.
When to use feature roles
- Inventory Manager: Assign to warehouse staff, logistics coordinators, and supply-chain planners.
- Payroll Manager: Assign to HR or finance staff who process salary and benefits.
- Manufacturing Manager: Assign to production supervisors, quality assurance, and material planners.
- HR Manager: Assign to human resources specialists or company managers responsible for recruitment and workforce administration.
How feature roles work with core roles
Feature roles are independent. A user can have:
- Just a core role (e.g., Finance only)
- Just a feature role (e.g., Inventory Manager only)
- A combination (e.g., Finance + Inventory Manager)
- Multiple feature roles (e.g., Inventory Manager + Manufacturing Manager)
Where you see them
When you create or edit a user, you assign roles in the Roles section: Go to Settings → Users & Roles → Users Open in Usystems
Tips
- Feature roles are more focused than core roles—they lock users into a specific function, which reduces accidental changes to other modules.
- A user does not need a core role to use a feature role. For example, an Inventory Manager does not have to be Finance or Operations.
- Payroll and HR are sensitive areas—restrict these roles to trusted staff only.
