Running the Customer Payments report
Generate the Customer Payments report to view all payments received from your customers.
The Customer Payments report shows all payments received from your customers, organized by customer and payment date. Use this report to track cash inflow, reconcile accounts, and verify payment history.
Before you start
- You must have permission to view reports (contact your admin if you cannot access the Reports section).
- Ensure your invoices and payment records are up to date.
- Decide the date range and customer filters you want to apply.
Steps
-
Navigate to Reports → Sales Reports Open in Usystems
-
Find and click Customer Payments in the list of available reports.
-
The report page opens with default settings. You will see fields to filter the report by date, customer, and payment method.
-
Set your preferred filters:
- Date range: select start and end dates (or leave blank to show all payments).
- Customer: choose a specific customer or leave empty to see all customers.
- Payment method: optionally filter by cash, bank transfer, check, or other payment types.
-
Click Run Report (or the equivalent action button on the page).
-
The report generates and displays a table with all matching payments, showing customer name, payment date, amount, and payment reference.
Accounting impact
Payments shown on this report reflect money actually received from customers and recorded in your accounting system. The amounts correspond to payments applied to invoices and advances, affecting your cash accounts and accounts receivable.
Tips & common mistakes
- Date range matters: leaving the date range empty shows all historical payments, which can be slow. Narrow it to the last quarter or year for faster results.
- Check payment method filters: if you filter by a specific method (e.g., "bank transfer only"), you will not see cash or check payments.
- Ensure invoices are marked paid: payments only appear on this report if they are linked to an invoice or advance in the system. Standalone payments may not show up.
- Use exports to share: if you need to send the report to others, export it to Excel or PDF (see Exporting and printing the Customer Payments report).
