Filters and options in the Invoice List report

Narrow the report to show only the invoices you need.

The Invoice List report offers several filters and search options to help you quickly find the invoices you need.

Date RangeLimits the report to invoices created within a specific date window (start date and end date). Options may include presets like "This month," "This quarter," or "All time."Select "Last 30 days" to see only invoices from the past month.
CustomerFilters to show invoices sold to a specific customer or group of customers. You may be able to select one customer or choose multiple.Select "Acme Corp" to see only invoices for that customer.
StatusShows invoices in a specific state: Draft, Submitted, Partially Paid, Paid, Overdue, or Cancelled.Select "Overdue" to see invoices that have not been paid by the due date.
Amount RangeFilters invoices by their total value (minimum and/or maximum).Set a range of $100–$5000 to find medium-sized invoices.
Invoice NumberSearch for a specific invoice by its number or partial number.Type "INV-042" to find that exact invoice.
CurrencyIf your system uses multiple currencies, filter by the invoice currency.Select "USD" to see only invoices in US dollars.
Text SearchSearch by customer name, contact information, or other text fields in the invoice.Type the customer's name to find all their invoices.

How to apply filters

  1. Look for the filter panel on the left side of the report (or a filter button/icon if the panel is collapsed).
  2. Click on a filter to open it and select or enter your criteria.
  3. The report updates automatically as you adjust filters — no "Apply" button is needed.
  4. To remove a filter, click the filter again or look for a "Clear" or "Reset" option.

Tips for effective filtering

  • Combine filters: You can apply multiple filters at once. For example, filter by customer AND status to see all unpaid invoices for a specific customer.
  • Use date presets: If available, use quick-select date ranges (e.g., "This month" or "Last quarter") instead of entering dates manually.
  • Search before filtering: If you are looking for a specific invoice, try the text search first — it is often faster than scrolling through filtered results.
  • Check your filters: If the report shows no results, ensure your filters are not too narrow (for example, a date range that contains no invoices).
