Answers to common questions about using and interpreting the Sales by Customer report.
Q: Why is a customer showing zero sales when I know I sold to them?
A: Check your date range. If the sale occurred outside the selected dates, it won't appear. Also verify that the sale was marked as "posted" or "confirmed" in your system—draft documents are often excluded from reports by default.
Q: Can I compare two time periods side by side?
A: The standard report shows one date range at a time. To compare periods, run the report twice (once for each period) and export both to Excel, then use a spreadsheet to place them side by side or calculate differences.
Q: How are currency amounts displayed if I sell in multiple currencies?
A: The report typically converts all amounts to your business's base currency using the exchange rate on the transaction date. If you want to see sales in their original currency, export to Excel and check for an optional "Original Currency" column, or contact your administrator about a multi-currency variant.
Q: Can I drill down from a customer's row to see individual invoices?
A: Yes, in most cases you can click a customer's name to view their full contact record and transaction history. Individual invoice links may also be available depending on your system's configuration.
Q: What's the difference between "Sales by Customer" and "Customer Aging"?
A: Sales by Customer shows revenue volume and transaction activity. Customer Aging focuses on payment status and overdue amounts. Use Sales by Customer for revenue analysis and Customer Aging for payment collection.
Q: How often is the report data refreshed?
A: The report reflects data up to the moment you click "Generate." If you make a sale and immediately re-run the report, the new sale will appear. There is typically no lag, but in very high-volume systems, there may be a delay of a few seconds.
Q: Can I automate this report to run on a schedule?
A: This depends on your system administrator's setup. Some organizations schedule reports to be sent by email on a weekly or monthly basis. Ask your IT team if automated report delivery is available.
