Filters and options in the Sales by Item Breakdown report

A complete list of filters and how to use them to customize your sales analysis.

Filter	What it does	Example use	Notes
Date range (Start date)	Set the first date to include in the report.	Set to 2026-01-01 to start your analysis from January.	Required. Works together with End date. Changing dates shifts which items appear if their sales fall outside the range.
Date range (End date)	Set the last date to include in the report.	Set to 2026-06-30 to analyze the first half of the year.	Required. If End date is before Start date, you will see no results.
Product/Service	Show only sales for one specific item, or leave blank for all items.	Select "Paracetamol 500mg" to see only paracetamol sales.	Optional; if blank, includes all items sold. Useful for deep-dive analysis on a single product.
Warehouse	Filter to a specific warehouse location.	Select "Kabul Main" to see sales from that location only.	Optional. If your company uses multiple warehouses, leave blank to aggregate all warehouses or select one to isolate.
Currency	Show sales in a single currency.	Select "AFN" to see all sales in Afghan Afghani.	Required; no auto-conversion. Multi-currency reports require separate runs or export + spreadsheet consolidation.
Category	Filter to items in a product category.	Select "Antibiotics" to see only antibiotic sales.	Optional; leave blank to include all categories. Useful for grouping related products.
Cost basis	(if available) Choose how to calculate cost: standard cost or actual cost.	Choose "Standard" for consistent comparisons; choose "Actual" for precise cost accounting.	Optional. Default varies by configuration. Standard cost is faster; Actual is more precise.

Filter behavior

All filters together (AND logic): multiple filters work together. Example: "Date range = Jan–Jun AND Warehouse = Kabul Main AND Category = Antibiotics" shows only antibiotic sales from Kabul Main during that period.
Blank fields: most filters are optional. Leaving them blank means "include everything in that dimension."
Date range sensitivity: items with all sales outside the selected dates will not appear. For example, if you sold "Item X" only in July, and your date range is Jan–Jun, "Item X" will not show.
Warehouse aggregation: if Warehouse is blank, the report sums sales across all locations. If you select a warehouse, only sales from that location are shown.
