Running the Sales Summary report

Generate a summary of total sales by customer, product, or time period with customizable filters.

The Sales Summary report shows total sales figures—not individual line items. Instead of seeing every invoice and product sold, you see one row per customer or per product with totals. This is perfect for quick snapshots: "Who were my top customers?" or "Which products generated the most revenue?"

Before you start

  • You must have access to the Reports section (check with your admin if you cannot see it).
  • Your invoices must be created and finalized (posted) in Usystems.
  • Decide whether you want to summarize by customer, product, or time period (day/week/month).

Steps

  1. Go to Reports in the main navigation. Open in Usystems

  2. Look for the Sales Reports section and click Sales Summary.

  3. (Optional) Choose your summary grouping:

    • By Customer: One row per customer showing total sales to that customer.
    • By Product: One row per product showing total units and revenue.
    • By Date (Period): One row per day, week, or month showing aggregate sales.
  4. (Optional) Set filters to narrow the data:

    • Choose a date range
    • Select specific customers or products
    • Filter by invoice status (posted, draft, all)
  5. Click Run Report or Generate.

  6. The report will display in a table. Each row shows:

    • The grouping (customer name, product name, or date)
    • Total Quantity: How many units sold
    • Total Revenue: Sum of all invoice amounts
    • Average Price: Revenue ÷ Quantity
    • Count: Number of invoices or transactions

Accounting impact

The totals in this report reflect all finalized sales—they match your sales revenue accounts in the general ledger. Each row represents aggregated invoices; the amounts are taken from the posted invoice transactions.

Tips & common mistakes

  • Empty results? Check your date range; invoices outside the range won't be included.
  • Summary by date is useful for trends: If you want to see "sales per month," group by date.
  • Top customers: Group by customer and sort by Revenue (highest first) to find your biggest buyers.
  • Best-selling products: Group by product and sort by Quantity to see which items move the most units.
