What an invoice posts to the general ledger

Understand which accounts are debited and credited when you create or pay an invoice.

When you create or pay an invoice, Usystems automatically records the financial impact in the general ledger (دفتر کل). Understanding these postings helps you verify that your invoices are creating the correct accounting entries and prepares you to read balance sheet and income statements.

How invoice creation posts

When you create a new invoice, Usystems makes two postings:

  1. Debit (بدهکار) Accounts Receivable (حساب دریافت‌نیاز) — increases the amount owed to you by the customer.
  2. Credit (بستانکار) Sales Revenue (درآمد فروش) — records the sale as income.

Example: You create a 1,000 AFN invoice for customer Ahmed.

  • Debit: Accounts Receivable — 1,000 AFN
  • Credit: Sales Revenue — 1,000 AFN

This entry increases both the asset (money owed to you) and income (what you earned).

How invoice payment posts

When a customer pays the invoice, a second posting occurs:

  1. Debit (بدهکار) Cash (نقد / پول نقد) — records the cash you received.
  2. Credit (بستانکار) Accounts Receivable (حساب دریافت‌نیاز) — reduces the amount owed to you.

Example: Ahmed pays the 1,000 AFN invoice in cash.

  • Debit: Cash — 1,000 AFN
  • Credit: Accounts Receivable — 1,000 AFN

This entry records that you received the money and no longer are owed anything by Ahmed.

Where to verify postings

To see all postings created by an invoice, go to Reports → Journal or Transactions
Open in Usystems

Filter by the invoice number or date to view the exact entries. Each line shows the account, debit/credit amount, and description.

Why this matters

  • Accuracy: Confirming that your invoices post to the correct accounts ensures your financial statements are accurate.
  • Reconciliation: When you reconcile your bank account or accounts receivable, you can trace each transaction back to an invoice posting.
  • Tax reporting: Many invoices are subject to sales tax or VAT; Usystems posts tax separately so you can report it correctly.
