Invoice won't save: common causes
Diagnose and fix errors that prevent an invoice from being saved.
Symptom
You click the save button on an invoice form, but the invoice does not save. You may see an error message, or the page refreshes without saving the data.
Likely causes (ordered by probability)
1. Missing customer The invoice requires a customer. If the Customer field is blank, the invoice cannot be saved.
Fix: Select a customer from the Customer dropdown. To create a new customer on the fly, click + New Customer (if available in your product).
2. Missing or invalid line items An invoice must have at least one line item (product or service) with a quantity.
Fix:
- Scroll to the Items section.
- Ensure you have added at least one line. If the items section is empty, click + Add Item or + New Line.
- For each line, verify that Product, Quantity, and Unit Price are filled.
- Remove any lines with zero quantity.
3. Accounts not set up correctly If the customer does not have a default receivable account, or the accounts for sales, returns, or discounts are missing from your chart, the save will fail. (See the related article Missing account errors for details.)
Fix: Contact your administrator to ensure the necessary accounts are configured.
4. Product is out of stock If the invoice line references a product with insufficient inventory and your product line requires stock reservation, the save may fail.
Fix:
- Check the inventory level for the product. Go to Inventory and verify stock on hand.
- If stock is truly insufficient, either reduce the quantity in the invoice line or select a different product.
- If the product does not require stock control, this should not block the save; contact support if the error persists.
5. Network or session timeout A slow connection or expired session may cause the save request to fail silently.
Fix:
- Check your internet connection.
- Refresh the page (Invoices → New Invoice) Open in Usystems and re-enter your data.
- If the problem persists, log out and log back in.
6. Validation errors on required fields The form may have highlighted required fields in red. For example, a date is missing or in an invalid format.
Fix: Review the form for any fields with a red border or error message. Fill in or correct each one.
When to contact support
If you have filled all required fields, added a customer and items, and verified that your accounts are set up, but the invoice still will not save, contact your support team with:
- A screenshot of the error message (if any).
- The date and time you attempted to save.
- The customer name and any items you were adding.
