HR & Payroll Officer: your first day
Understand your core responsibilities and navigate the HR module with confidence.
What you do
As an HR & Payroll Officer, you manage your organization's workforce: recruiting, maintaining employee records, tracking attendance and leave, calculating payroll, and generating HR reports. Your work ensures salaries are paid on time, compliance records are maintained, and the organization has accurate visibility into labor costs.
Why this matters
Accurate HR data is the foundation of fair compensation, tax compliance, and strategic workforce planning. Small errors—a missed attendance day, a wrong salary amount, an overlooked leave balance—ripple through payroll, accounting, and reporting. Usystems keeps all this organized in one place, so you can focus on supporting your team.
How it works in Usystems
The HR module in Usystems is built around employees, attendance, leave, and payroll:
- Employees are your master records: names, contact details, salary structure, position, and employment dates.
- Attendance tracks daily presence or absence; you mark it manually or sync it from an external system.
- Leave records approved days off (vacation, sick, unpaid, etc.); the system enforces your organization's policy.
- Payroll calculates monthly salaries based on attendance, leave, deductions, and allowances, then posts the result to accounting.
All of this ties together: if an employee takes unpaid leave, their salary adjusts; the payroll run deducts it automatically and posts the liability to the general ledger.
Where you start
On your first day, you'll likely:
- Review the employee roster — see who works here, their titles, and basic pay info.
- Set up leave policies (if not already done) — define your organization's leave types (vacation, sick, unpaid) and annual limits.
- Configure payroll settings — ensure salary components, deductions, and tax rules are correct.
- Mark today's attendance — log who is present or absent.
- Review past payroll runs (if any) — check that previous months were calculated correctly.
Key concepts to know
- Payroll run: A monthly batch that calculates all employee salaries at once, applies leave/attendance adjustments, and posts to accounting.
- معاشات (Payroll) in Dari: the system's term for the entire salary calculation and payment process.
- حاضری (Attendance): daily tracking of who worked.
- رخصتی (Leave): approved absence, with different types and annual balances.
