Barcode Workflow (if your company uses scanners)
- Receiving: Scanner reads barcode → System shows item info → You confirm quantity → Item moves to inventory
- Picking: You enter item code (or scan barcode) → System shows location and quantity → You pick the item → You scan to confirm pick
- Transfer: You scan source location → scan destination location → system records the move
- Adjustment: You manually count items → you enter difference in system (if counted 5, system shows 7, enter -2)
Daily Checklist
- Log in to Usystems
- Check for pending deliveries in Goods Received
- Receive and scan any deliveries
- Place goods in assigned warehouse locations
- Mark receipts as complete
- Throughout day: fulfill picking requests
- Record picks in Goods Issued
- Spot-check for expired or damaged items
- Count a sample of high-use items (if required)
- If count doesn't match system: create Inventory Adjustment
- Document any issues (missing stock, damaged goods)
- Log out at end of shift
Common Tasks — Quick Steps
Receive a delivery
- Check Goods Received for the expected order
- Scan each item (or enter code manually)
- Verify quantity matches packing slip
- Note any damage or shortages
- Place items in assigned locations
- Mark receipt as Complete
Pick items for a sales order
- Go to Goods Issued Open in Usystems
- Find the sales order or pick request
- Locate items on shelf
- Count correct quantity
- Check items are not expired or damaged
- Scan or enter item code in system to confirm pick
- System updates stock level automatically
Adjust inventory for damaged item
- Find damaged item in warehouse
- Go to Inventory Adjustment Open in Usystems
- Create new adjustment
- Enter item code and quantity (-1, -5, etc.)
- Reason: "Damaged item" or "Expired"
- Save; system deducts from inventory
Transfer stock to another location
- Go to Stock Transfer Open in Usystems
- Enter item code
- Enter source location (where it is now)
- Enter destination location (where it goes)
- Enter quantity
- Physically move the items
- Mark transfer as complete; system updates locations
Count inventory (daily or weekly spot-check)
- Choose 3-5 high-use items
- Count physical items on shelf
- Go to Inventory Open in Usystems and find item
- Compare your count to system quantity
- If they match: no action needed
- If they don't match:
- Go to Inventory Adjustment Open in Usystems
- Enter item and difference (system shows 10, you counted 8, enter -2)
- Reason: "Physical count"
- Save
Safety Reminders
- Store items according to company rules (hazardous items separately, perishables cool/cold, heavy items low)
- Check expiry dates regularly
- Report damaged goods immediately
- Use proper lifting techniques for heavy items
- Wear personal protective equipment (PPE) if required for your warehouse
Troubleshooting
| Problem | Action |

| Barcode scanner not reading | Try scanning again; if still fails, enter item code manually |
| Item not found in system | Check spelling of item code; ask supervisor if item exists |
| Counting doesn't match system | Recount to verify; check if someone picked without logging it; create Adjustment if confirmed |
| Item is expired | Remove from shelf; go to Inventory Adjustment and set quantity to 0 |
| Received wrong item | Note discrepancy on packing slip; tell supervisor; do NOT put in inventory yet |
| Stock level is zero but item on shelf | Create Inventory Adjustment with positive quantity; note reason as "Found in warehouse" |
