Salesperson: your first day

Understand your role and the key workflows you'll use to record sales and manage customers.

What You Do

As a salesperson in Usystems, your job is to record every sale and manage the customers who buy from you. You'll create invoices for customers, track their purchases, and see how much money they owe or have advanced to your company.

Why This Matters

Accurate sales records are the foundation of your company's financial health. When you record a sale in Usystems, it flows directly into your company's accounting system—helping managers see revenue, track inventory, and make better business decisions. Mistakes or delays in recording sales can cause confusion and missed revenue.

How It Works in Usystems

The sales cycle has three main steps:

  1. Find or create a customer — Before you can sell, the customer must exist in your system. If a customer doesn't exist yet, you add them. If they do, you just select them.

  2. Create an invoice — Record what the customer is buying: products, quantities, prices, and any discounts or taxes. Usystems calculates totals for you.

  3. Record payment (or track the balance) — The customer may pay immediately (cash), or they may owe you money (on account / credit). Either way, you record what happened so the company knows how much cash came in and how much customers still owe.

Key Terms You'll Encounter

  • Invoice — a bill you send to a customer for products or services sold
  • Customer — a person or business that buys from you
  • Balance — how much a customer owes you (or has pre-paid / advanced)
  • Discount — a reduction in the invoice total (you may offer this for volume or loyalty)
  • Tax — a government fee added to the sale (if applicable in your region)
  • Payment — money received from a customer

Where to Start

Go to Contacts → Customers Open in Usystems to browse your customers. If you need to record a sale, go to Invoices Open in Usystems and click New Invoice. From there, you'll select a customer, add items, and save.

On your first day, ask your manager to walk you through one complete sale from start to finish. Watch where the buttons are and what happens when you submit. Then do one yourself with their help nearby.

Tips

  • Take time to learn customer names and codes. You'll type them many times; knowing a few key customers by heart saves time.
  • If you're unsure about a discount or price, ask before entering it. Wrong numbers are harder to fix later than to get right the first time.
  • Review the invoice before you save. Look at the total, the customer name, and the items. A 10-second check can prevent a wrong sale.
  • Your manager can see all your invoices. Don't stress about perfect entries on day one—that's what your supervisor is there to coach you on.
