Choosing the warehouse on a sales receipt

If your business manages inventory in multiple warehouses or locations, you must select a warehouse on each sales receipt. The warehouse determines which physical location the goods are being sold from, and Usystems will deduct the items from that warehouse's stock. If you have only one warehouse, it will usually default.

Before you start

• Your business must have inventory management enabled.
• Warehouses must be set up in your system (contact your administrator if you don't see warehouse options).
• Verify that the warehouse you want to select has the items in stock.

Steps

1. On the sales receipt form, locate the Warehouse field (usually in the header section near the top).

2. Click the Warehouse field to open the list of available warehouses.

3. Select the warehouse from which you are selling the goods.

4. Once selected, the warehouse will be locked in for this receipt.

5. Continue adding line items. As you add each product, Usystems will check availability in the selected warehouse.

6. If an item is not available in that warehouse, the system may show a warning or require you to choose a different warehouse.

Tips & common mistakes

• Choose before adding lines. It is easier to select the warehouse first, before you add any line items.
• One warehouse per receipt. Each sales receipt can only draw from one warehouse. If you need to sell items from multiple warehouses on the same day, create separate receipts.
• Check stock levels. Before selecting a warehouse, verify that it has the quantities you need in stock (check Inventory to see warehouse-by-warehouse levels).
• Default warehouse. If your system has a default warehouse, it will be pre-selected. You can change it if needed.
• Impact on cost. The warehouse choice can affect the cost of goods sold calculation if you use lot-based or location-based costing. Confirm you're using the right warehouse.
