Missing account errors (receivable/payable/cash not set)
Fix account configuration so receipts post to the correct ledger accounts.
Sales receipts require three types of accounts to be configured: a receivable account for the customer, a cash account for the payment method, and optional sales/service accounts for line items. If any of these is missing or misconfigured, the receipt cannot save.
Symptom
When you try to save a sales receipt, you see an error message such as:
- "Receivable account not set for customer [Name]"
- "Cash account not configured"
- "No sales account found for this item"
Likely causes (in order of probability)
1. Customer has no receivable account
- The customer was created but no receivable account was assigned, or the account does not exist for the transaction currency.
- Fix: Go to Contacts → Customers, search for the customer name, and open their record. Look for the "Receivable Account" field. If empty or red, click it and select or create an appropriate receivable account. Ensure the account is in the same currency as the transaction. Save the customer and return to the receipt.
2. Cash account not set on payment method
- The payment method (cash, card, bank transfer) does not have a cash account linked in the business settings.
- Fix: Go to Settings → Payment Methods (or equivalent). Find the payment method you are using and verify it has a cash account assigned. If missing, select one from the chart of accounts. Common choices: "Cash on Hand", "Bank Account", or a named till. Save and return to the receipt.
3. Product/service has no sales account
- The item being sold does not have a default sales account configured.
- Fix: Go to Products → [Product Name] (or Services → [Service Name]), open the product, and look for the Sales/Revenue Account field. If empty, select an appropriate account from the chart (e.g., "Sales Revenue", "Service Income"). Save the product and return to the receipt.
4. Currency mismatch
- The receipt is in one currency (e.g., USD) but the customer's receivable account or payment method is set up for a different currency (e.g., AFN).
- Fix: Check the currency at the top of the receipt. Ensure it matches the customer's account settings and the payment method's currency. If you need to use a different currency, either change the receipt currency (if the system allows) or create a new customer account set up for that currency.
5. Chart of Accounts is incomplete

The required accounts do not exist in the chart at all.

Fix: Go to Accounts (Chart of Accounts) and verify the following accounts exist:
- A receivable account (e.g., "Accounts Receivable")
- A cash account (e.g., "Cash", "Bank Account", or a named till)
- A sales/revenue account (e.g., "Sales Revenue", "Service Income")
If any are missing, create them. Consult your accountant or manager on the correct account names and numbers for your business.
When to contact support
If you have set up all required accounts and the error persists, or if you are unsure about which accounts to use, contact your system administrator or Usystems support with:
- A screenshot of the error message
- The customer name and the currency of the receipt
- A list of the accounts you have set up
- Confirmation of your business type (retail, service, etc.)
