Booking appointments
Schedule a patient for a specific doctor and time slot.
Booking an appointment reserves a patient with a specific doctor for a scheduled date and time. This ensures patients know when to arrive and doctors can manage their daily schedule efficiently.
Before you start
- You have permission to book appointments (ask your administrator if unsure)
- The patient must already exist in the system as a contact
- The doctor must have a published schedule with available slots
- If using multiple locations, confirm the correct location is selected
Steps

Go to Patients → Appointments (or Front Desk → Appointments, depending on your setup). Open in Usystems

Click the New Appointment or + button.

Select the patient from the dropdown list. Type their name or ID to search quickly.

Choose the doctor you want to book with.

The system displays available time slots based on the doctor's schedule. Select your preferred date and time.

(Optional) Add a reason for visit or notes to help the doctor prepare.

Click Save or Confirm to complete the booking.
The appointment is now scheduled, and the system may send a notification to the patient (if configured).
Tips & common mistakes
- Double-check the date and time before saving—appointments cannot always be easily edited afterward.
- If no time slots appear, the doctor may not have a schedule published yet, or all slots are already booked. Ask your administrator or check the doctor's schedule.
- Always confirm the patient's contact details are correct; the system may use this information to send reminders.
- If the patient does not appear in the dropdown, they may need to be added as a contact first. Contact your administrator for help.
