Jul 11, 2026
The Contact Balance report shows how much each customer or vendor balance at a specific date. You can run it in Summary mode (one row per contact) or Detail mode (one row per transaction or billing document).
Before you start
- You need permission to view reports (standard for accounting users).
- You must have at least one customer or vendor in your system.
- Decide whether you want to see balances as of today or a past date.
Steps
-
Go to Reports → Contact Balance and click to open the report builder. Open in Usystems
-
Choose your report mode:
- Summary: one row per contact, showing total balance.
- Detail: one row per transaction, showing balances on each document.
-
(Optional) Set a cutoff date. Leave blank for today.
-
(Optional) Filter by contact type: select All, Customers only, or Vendors only.
-
(Optional) Filter by account if you want to see only payables or receivables.
-
Click Generate report or Run to execute.
The report displays immediately. If you have many contacts, this may take a few seconds.
Tips & common mistakes
- Summary mode is fast for a quick balance check. Use Detail mode only when you need to audit individual transactions.
- Contact grouping is alphabetical by default; you can sort any column by clicking the header.
- If a contact has no activity in the selected period, they will not appear unless you explicitly include zero balances (check the Show zero balances option if available).
